Willow & Stone Estate

Your Wedding,
Your Way

Our venue is unlike any other. With everything you truly need taken care of—no hidden costs or surprises, allowing you and your wedding party to set your own pace to prepare, relax and enjoy what will be an unforgettable weekend.

A Magical Weekend Experience

Your wedding weekend generally begins Friday morning and runs through to Monday afternoon. Ceremony spots, photo locations, and reception areas are all yours to enjoy in complete privacy. Our reception arena, surrounded by natural stone and lush foliage, offers your choice of a clear or covered marquee. Adjacent to the marquee, our expansive spotted gum deck becomes a festoon-lit dance floor—perfect for celebrating under the stars.

Couples often share how their guests comment on the seamless flow of the day—feeling like they’ve experienced three distinct settings—the ceremony, cocktail hour, and reception—without ever leaving the estate. We design your wedding so that while the day is all about you, your guests feel special too.

Flexibility & Support

Your wedding, your way. Choose your favourite vendors—or let us connect you with trusted suppliers we love. With access to Aisle Planner and our experienced coordinator by your side, we’ll ensure your day runs seamlessly, helping as much or as little as you need through every moment of your wedding journey.

Exclusions & Additional Information

While our venue hire includes all the essentials to make your day seamless, there are a few things that are understandably not included. Over the years, we’ve found these are the areas where couples’ preferences can vary widely, so keeping them optional ensures your wedding is truly your way—not limited or controlled by the venue. This section outlines what’s outside the hire, along with important information to help you plan your day with confidence.

What’s Excluded in Your Wedding Weekend – At a Glance
  • Catering, entertainment, beverages, photography, florals and styling are NOT included. We’re happy to recommend vendors to suit your taste and budget.
  • Reception furniture is not included, allowing you to choose pieces that suit your style and budget — with our expert recommendations to guide you. However, Ceremony and Cocktail Hour furniture is included
  • As an outdoor venue in a mixed‑use zone, we have noise restrictions that we’ll discuss with you during a site visit.
  • Our pricing is all‑inclusive regardless of guest numbers; GST is additional.
  • We host one event per weekend and do not split weekends or discount for shorter stays
  • Guests welcome at the venue for Wedding Day only – no rehearsal dinners, or recovery allowed.

Frequently Asked
Questions
How soon before my desired date should I book?

We recommend booking 18 months to 2 years in advance for the best choice of dates. We don’t take deposits more than 2 years out but can pencil in dates for you and send you updated inclusions and pricing once its 2 years away.

We’d love to book sooner — is that possible?

While our limited weekends do book out well in advance, it’s always worth checking availability as last-minute cancellations or postponements sometimes occur. In fact, we’ve successfully hosted weddings with just a few weeks notice when couples faced unexpected changes with their original venue.

Do we have to book the whole weekend?

Yes — venue hire is for 3 days and 3 nights. This gives you time to settle in, prepare, and celebrate without any rush. We only host one event per weekend, so whether you stay one night or all three, the hire price remains the same.

How do payments work?

A 50% deposit is required to secure your date, with the balance due 1 month before your wedding. We’ll provide a clear payment schedule so there are no surprises.

What if we need to change or cancel our booking?

We understand plans can change. Our cancellation policy is fair and transparent, and we’ll walk you through the details at the time of booking.

What are your accommodation options?

You’ll enjoy exclusive use of our luxury suite for the weekend, including an expansive dressing room and space for up to five to sleep over should you choose the night prior.

After the celebrations, return to your beautifully refreshed suite. We wont disturb you until your late check out around lunchtime on the Monday.

Ballarat offers a wide range of nearby accommodation, from boutique hotels and Airbnbs to larger hotels. The Mercure, a major hotel, is only steps away through our private back gate, with cafés, bars, and local attractions just minutes from the venue.

What’s the venue’s patron capacity?

Our permit allows a maximum of 150 guests including the bridal party. Our marquee seats up to 150 guests depending on the layout, and it’s easy to adapt for a cocktail-style celebration.

What happens if it rains?

We always have a wet-weather plan tailored to your guest numbers, with covered ceremony options and umbrellas on hand. Our venue and event managers ensure everything runs smoothly, rain or shine, so you won’t have to worry about a thing.

Is a marquee included?

Yes. Your hire includes a pristine clear 20m x 10m marquee with an automated awning system to protect florals from the heat or provide shade for your guests. Over 300 metres of dimmable festoon lighting, an expansive outdoor deck for a starlit dance floor, or a hardwood indoor dance floor, plus much more, are all included within the reception arena.

What is involved when you book with Willow & Stone Estate?

You’ll have exclusive use of the estate generally from Friday morning to Monday afternoon, including spaces for rehearsals, your ceremony, reception, photos, and our luxury suite. We maintain the property year-round so it’s always pristine.

What is excluded from venue hire?

Catering, reception furniture, styling, and entertainment are not included. However, our wedding planning team — included in your hire — can help you bring everything together seamlessly and within budget.

Do you supply furniture?

From late 2025, venue hire includes 60 ceremony chairs and all cocktail hour furniture for the main lawns. Reception/marquee furniture is excluded, as requirements vary widely. We can provide cost estimates based on your needs and also offer:

  • Complimentary items (e.g., wine barrel or cake display table, trestle for gift table).

  • 15% off with our preferred local hire partner for standard tables and chairs.

  • Recommendations for hire companies to suit your style and budget.

Do I need a wedding planner?

No. One of the best in the business is already included in your venue hire, along with a team to handle set-up, pack-down, and coordination on the day.

Do I need a wedding stylist?

Not at all. The estate is naturally beautiful, and our team can help you create your dream look. That said, many well-known stylists from across Australia and internationally have styled weddings here, so if you’d like an extra touch of design expertise or wow factor, we can recommend some of the best.

Can you help us find vendors?

Absolutely. We’ll get to know your style and budget, then recommend trusted vendors who are the perfect fit.

Do you allow pets?

Yes — we love welcoming fur babies! Some conditions apply to ensure they’re safe and cared for on the day.

Do you allow a recovery day?

We no longer host recovery days on-site, but we’re happy to recommend nearby venues where you can continue the celebrations stress-free.

Do you hold any events other than weddings?

With limited permits each year, we dedicate almost all availability to weekend weddings. If you’d like our venue for a different type of event, the same costs apply.

Do you cater for micro weddings?

Yes. We host micro weddings of up to 45 guests, available only in our off-peak season (May to September), or within six months of your enquiry if a date is free. Packages are available for elopements, seated, or cocktail-style celebrations.
